Job Description

The Fintech Platform & Investor Operations Coordinator is the operational backbone of DiversyFund. This role involves managing the day-to-day operations of our investor platform, overseeing offline transactions (including IRAs and one-off deals), and ensuring all statements and reconciliations are accurate. Additionally, this position holds office administration responsibilities—ranging from vendor management to providing a productive, clean workspace—and supports HR functions such as payroll and policy coordination. While investor relations is part of this role, the primary focus is operational efficiency, reconciliation, and administrative tasks to keep the organization running smoothly.

Key Responsibilities:

1. Operational Excellence

Transaction Oversight :

  • Manage and reconcile offline transactions, including IRAs and special one-off investments.
  • Ensure that investor records are up-to-date and accurate across all platforms (HubSpot, internal portals, etc.).

Reconciliation & Reporting :

  • Oversee regular reconciliation processes to confirm accurate investor statements.
  • Identify and resolve discrepancies promptly in collaboration with fund administrators and finance teams.

System Coordination :

  • Collaborate with the Tech team to troubleshoot and improve back-end processes and investor-facing platforms.
  • Work with the Fund Admin group to align on statements, compliance documents, and reconciliation timelines.

2. Investor Support Coordination

Investor Communication :

  • Ensure timely and accurate updates are delivered to investors via email, portal, SMS, and push notifications.
  • Handle escalated investor inquiries related to transactional and account issues.

Staff Management :

  • Guide and direct the Investor Support Staff, ensuring they are trained on operational procedures and reconciliation best practices.
  • Coordinate with the Director of Revenue to balance customer service and investor relations responsibilities appropriately.

3. Office & Administrative Management

Office Administration :

  • Maintain office organization, cleanliness, and supply inventories.
  • Oversee the mailing process, manage employee workstations, and coordinate any office-related repairs or needs.

Vendor & Contract Oversight :

  • Review all third-party contracts, secure CEO approval where needed, and maintain positive vendor relationships.
  • Handle weekly bill payment processes in coordination with Finance.

Policy & Documentation :

  • Maintain clear documentation of operational processes and office procedures for consistency and compliance.

4. HR Coordination

Payroll & 1099s :

  • Manage payroll within Justworks, ensuring accuracy and on-time payments for all employees.
  • Oversee 1099 contractor payments within Gusto, ensuring compliance and proper record-keeping.

Company Policy :

  • Assist in updating and enforcing company policies, ensuring compliance with relevant labor and regulatory requirements.
  • Act as an HR point of contact for basic employee questions and onboarding support.

Required Skills & Qualifications

Education & Experience

  • Bachelor’s degree in Business, Finance, Operations Management, or related field (or equivalent experience).
  • Proven track record of operational, administrative, or reconciliation-focused roles, ideally in the financial services or fintech industries.

Technical Proficiency

  • Experience with CRM systems (e.g., HubSpot) and familiarity with online investment platforms.
  • Experience processing IRA transactions 
  • Comfortable with tools like DocuSign, Justworks, Gusto

Reconciliation Expertise

  • Strong attention to detail with the ability to manage, track, and resolve complex transactional data sets.
  • Thorough understanding of accounting principles and statement accuracy.

Organizational & Communication Skills

  • Ability to prioritize tasks, oversee multiple projects simultaneously, and maintain comprehensive records.
  • Strong written and verbal communication to effectively collaborate with internal and external stakeholders.

Leadership & Team Coordination

  • Experience managing or guiding teams, setting goals, and ensuring accountability.
  • Demonstrated capability to foster a collaborative environment.
