Location : South Portland, ME - 04106

Duration : 12 Months

Shift Timings : 8:00 am - 5:00 pm (Monday - Friday)

Position Overview

We are seeking a meticulous and collaborative Contracts and Documentation Specialist to support our US Customer Education team. This role focuses on managing multiple contracts, purchase orders, invoices, and cross-functional approvals while ensuring compliance with Abbott's Office of Ethics and Compliance (OEC) policies and guidelines. The ideal candidate will report to a Medical Director and work closely with Key Opinion Leaders (KOLs), Health Care Professionals (HCPs), the OEC, and the procurement team to manage contracts, travel plans, purchase orders, invoices, and other related documentation.

Key Responsibilities

• Contract Management : Create, review, and manage contracts for KOLs and HCPs, ensuring compliance with Abbott OEC policies.
• Purchase Orders : Process and manage purchase orders and invoices, ensuring timely approvals and payments.
• Cross-Functional Approvals : Work with various departments to obtain necessary approvals for contracts and purchase orders.
• Documentation Management : Maintain accurate and compliant records of all contracts and related documentation.
• Collaboration : Partner with internal teams and external stakeholders to ensure seamless execution of contracts and documentation processes.
• Organizational Skills : Efficiently manage multiple priorities and timelines, utilizing reminders to stay on track.
• Logistics Support : Coordinate travel arrangements for KOLs and HCPs with Abbott’s travel agents, ensuring timely processing of all related expenses.

Qualifications

• Education : Bachelor’s degree or equivalent work experience in a related field.
• Experience : 2-3 years of experience in contract management and procurement processes (purchase orders, invoices), preferably within the medical or clinical field.
• Skills : Strong proficiency in Excel, PowerPoint, Outlook, and other relevant applications.
• Project Management : Proven ability to manage multiple, deadline-driven projects effectively.
• Attention to Detail : High attention to detail, with a focus on data accuracy and integrity.
• Compliance Knowledge : Familiarity with compliance processes and procedures, particularly within the medical or clinical context.
• Interpersonal Skills : Ability to work independently and collaboratively within a team.
